Pricing Clarity
Finally you have received the financial proposals of the ASPs you have carefully selected. You are rushing into to see how much it will cost and suddenly you release that the proposals are not comparable.
Why?
Because every provider has his own way to express his pricing and off course to conceal its pricing policy.
The last 2 months we have seen proposals where:
- Price per invoice and support are integrated
- No price for support was there
- Widely different range of prices
- Accounting and ASP prices mingled
- Charging API
and many, many more.
Key points
The main points to pay attention to are:
- First 100 invoices (incoming and outgoing) should be for free
- Price for packages and not for the declared value of invoices (e.g you asked price for 12,000 invoices. What packages do they offer if you exceed that amount? 1,000, 2,000 or only 5,000?)
- Invoice pack expiration. What is the expiration time, if any?
- Support must be quoted separately and be itemised of what is included.
- Price for API. Serious providers do not charge.
- Setup fees. Again, should not be there.
- Provision of testbed. Again must be for free.
- Price of addons like reporting tools, import / export tools etc.
- Other fees, like infrastructure, availability, activation, portal access etc.
- Future pricing. It is very important, because the moment you have tied yourself with a provider it will be difficult to leave him. Any such departure will require payment for setting up your system with another provider.
What to ask
Provide clear instructions and maybe a template of what you are expecting to receive.
